User Self-Service (USS)

USS is the Agency tool that enables you to:

  • Customize your display name information, making it easier for your colleagues to find you in the NASA Enterprise Directory (NED) and the Global Address List (GAL).
  • Change your primary e-mail address or e-mail alias, and profile (or Launchpad) password.
  • Update your authentication questions, and emergency notification information.
  • Add or manage your Travel Center.

Everyone with a NASA identity, an active IdMAX account, and access to the NASA network may use USS.

To access USS, click the IdMAX link below. On the Welcome to IdMAX page, click the Self Service tab.

The following are the various types of User Self-Services:

Add Travel Center

If you will be traveling to another Center to work, indicate this in USS so that you can obtain the needed access to that center prior to your travel:

To add a travel center, follow these steps:

  1. Access IdMAX | On the Welcome to IdMAX page, click the Self Service tab.
  2. Under User Self-Service, click Add Travel Center.

    If you find that you do not have access, submit a NAMS request: http://itcd.hq.nasa.gov/nams.html.

  3. Click the box next to the Center you will be traveling to.
  4. In the text box, indicate any special access you will need while you are there.
  5. Click Submit.
  6. Depending on the Center, you will then be presented additional “Center Specific Instructions” for contact information for badging and/or physical access (Locksmith) information.

Change Your Password

Your profile (or Launchpad) password allows you to access all Launchpad-enabled applications that are Basic Level Entitlements (BLEs), or for which you received approval through NAMS. It expires every 60 days.

Your password must…
  • Be at least twelve characters long.
  • Contain any three of the following four constraints
    • At least one upper case character
    • At least one lower case character
    • At least one number
    • At least one special character (e.g., $, !, #, @, %)
  • Be strong. You have not met the requirements if you receive the message that it is “Too Short,” or “Weak.” If it says, “Strong,” you have met the requirements.

To change your password in Launchpad, follow these steps:

  1. Access IdMAX | On the Welcome to IdMAX page, click the Self Service tab.
  2. Under User Self-Service, click Change Password.
  3. On the Access Launchpad page, under Manage My Profile Options, click Change Launchpad Password.
  4. In the Current Password: text box, enter your current password.
  5. In the New Password: text box, enter a new password that conforms to the requirements described above.
  6. In the Confirm New Password: text box, enter your new password again.
  7. Click Change Password >

Modify Directory Names and E-mail Addresses

This User Self-Service option is useful for those who use a nickname instead of a legal name, those who recently changed their name, and those with very common names. Use this option to request changes for any of the following:

  • Your e-mail alias, which is the name that appears in e-mails instead of the actual email address. E.g., “Doe, John William” appears instead of john.w.doe@nasa.gov
  • Your e-mail address.
  • Your display name in the NASA Enterprise Directory (NED). E.g., Change “Doe, John William” to “Doe, John W.” You can have up to eight common names associated with your record in NED.

You cannot change your legal name via the User Self-Service tool. Contact your Office of Human Capital Management/Human Resources, or Company Contract Representative (for contractors) to find out your Center’s requirements for making this update.

  • Your display name in the NOMAD Global Address List (GAL), which is the Select Names window that appears when you’re addressing an e-mail and click To… It provides a list of NASA workers by “last name, first name.”

To make any of these changes, follow these steps:

  1. Access IdMAX | On the Welcome to IdMAX page, click the Self Service tab.
  2. Under User Self-Service, click Modify Directory Names and E-mail Addresses.
  3. Use the table below to locate the change you would like to make, and follow the corresponding steps.
I would like to modify… Steps

How my name appears in the NED

  1. Select the Common Names tab.

  2. If the name you would like to use is listed under Common Names, click the check box next to that name | Click Change Preferred Name..

    If it is not listed there, go to step 3.

  3. If the name you would like to use is listed under Available Names, click the box next to that name | Click Add to Common Names | Perform step 2.

    If it is not listed under Common Names or Available Names, go to step 4.

  4. Under Request a New Common Name, in the text box, enter the name you would like to use. | Click Request New Common Name. | Once it is approved, complete step 2.

How my name appears in NOMAD - GAL

  1. Select the NOMAD DISPLAY NAME tab.

  2. Under Available Display Names, click the circle next to the name you would like to use | Click Replace Display Names.

    If the name you would like to use is not listed under Available Display Names, go to step 3.

  3. Under Request New Display Name, in the text box, enter the name you would like to use. | Click Request New Display Name. | Once it is approved, complete step 2.

My contact information

  1. Select the PERSONAL INFORMATION tab.

  2. Make all necessary updates. | Click Update Address.

My e-mail address

  1. Select the EMAIL tab.

  2. If the e-mail address you would like to use is listed under Alternate E-mail Addresses, click the check box next to that name | Click Change Primary E-mail.

    If it is not listed there, go to step 3.

  3. If the e-mail address you would like to use is listed under Available E-mail Addresses, click the box next to that e-mail | Click Add to Alternate E-mails. | Perform step 2.

    If it is not listed under Alternate E-mail Addresses or Available E-mail Addresses, go to step 4.

  4. Under Request New E-mail Address, in the text box, enter the e-mail address you would like to use. | Click Request New E-mail Address. | Once it is approved, complete step 2.

Search for User

Use the NASA Enterprise Directory (NED) to look up an employee: https://webdir.nasa.gov/. It is also available through User Self Services:           

  • Access IdMAX | On the Welcome to IdMAX page, click the Self Service tab.
  • Under User Self-Service, click Search for User.

Employees can have up to eight common names associated with their record in NED.

Update Answers to Authentication Questions

To change your answers to security questions, follow these steps:

  1. Access IdMAX | On the Welcome to IdMAX page, click the Self Service tab.
  2. Under User Self-Service, click Update Answers to Authentication Questions.
  3. On the Access Launchpad page, under Manage My Profile Options, click View or Change Answers to Security Questions.
  4. Change the answers in the text box(es). | Click Save Answers >

Update – Emergency Notification Information

To update your own emergency notification information, follow these steps:

  1. Access IdMAX | On the Welcome to IdMAX page, click the Self Service tab.
  2. Under User Self-Service, click Update – Emergency Notification Information.
  3. Update your personal information as appropriate. | Click Update Address.

Manage – Emergency Notification Information

To update emergency notification information on behalf of someone else, follow these steps:

  1. Access IdMAX | On the Welcome to IdMAX page, click the Self Service tab.
  2. Under User Self-Service, click Manage – Emergency Notification Information.
  3. Enter UUPIC for the person whose information you would like to update. | Click Search.
  4. Update their personal information as appropriate. | Click Update Address.

Manage – User’s Travel Center

If someone you manage will be traveling to another Center to work, you can submit a request on their behalf for access to that center:

To add a travel center on behalf of someone you manage, follow these steps:

  1. Access IdMAX | On the Welcome to IdMAX page, click the Self Service tab.
  2. Under User Self-Service, click Manage – User’s Travel Center.

    If you find that you do not have access, submit a NAMS request: http://itcd.hq.nasa.gov/nams.html.

  3. Enter the UUPIC for that person. | Click Search.
  4. Click the box next to the Center they will be traveling to.
  5. Click Submit.
