INSTANT MEETING AUDIO CONFERENCING SERVICE CHANGES

Overview

Beginning mid-June 2014, the Communications Service Office (CSO) Instant Meeting (IM) Audio Conferencing Service will be transitioning to a new vendor called CenturyLink/PGi.  This change will only affect the Instant Meeting (Meet-Me) service. Reserved and operator assisted audio conferencing services will remain with the current vendor, Verizon.

WHAT TO EXPECT

Meeting Participants: Users who participate in audio conferencing meetings will use a new dial-in toll/toll free number and a participant passcode to join meetings.  This information change will be provided by the meeting coordinator.

Meeting Hosts: Hosts/moderators will receive a new dial-in toll/toll free number and host and participant passcodes to distribute to the participants.  In addition, the new service includes management features and tools to:

  • Visually display all participants
  • Identify actively speaking participants
  • Record the conference for later retrieval or playback
  • Receive a post-conference report of participants

Note: The Agency sent a host/moderator account information message on May 6, 2014 to all listed account host/moderators. If you are the host/moderator for an instant meeting audio conference and have not received the verification e-mail (or inherited an account from someone else), please contact the NASA Communications Service Office (CSO). Provide your name, toll and toll-free number for your current Instant Meeting (Meet Me) conference account, and your contact information. The CSO will contact you to update your records.

IMPORTANT THINGS TO KNOW
  • Training materials and opportunities to attend training sessions will be made available to all hosts/moderators and will be announced at a later date.  Additionally, general information and user guides will be provided when available.

  • To better support NASA account management, IM account request procedures will transition from the ESD Service Request system to the NASA Account Management System (NAMS) in IdMAX.  Current account holders will be validated and automatically imported to the new systems and instructions will be available prior to implementation for new requests.
