VOICE MAIL UPGRADE

On August 27, 2013, the HQ IT Operations team replaced the Unity Connection Server (UCS), which stores and manages voice mail messages for Headquarters users. However, there are significant differences in the architecture of the new server that would not allow the importing of existing voice mail messages stored within user mailboxes. No existing messages were migrated to the new server.

WHAT YOU NEED TO KNOW

Following the upgrade:

  • Your voice mail passcode and recorded greeting will be the same on the new server, and you may continue to use the voice mail system as usual.

  • Voice messages previously stored in your voice mail box will be accessible on the legacy server until September 30.  You may access these messages by following the instructions belowPlease note: These messages will no longer be accessible after September 30.  If a message is of significant importance, you should write down the context of the message:  name of caller, date, time, and synopsis of message.
 
INSTRUCTIONS TO RETRIEVE OLD VOICE MAIL

To access old messages on the legacy voice mail server, follow the directions below.  You may dial into the legacy voice mail server multiple times as needed until September 30.  At that time, the system will be shut down and all past messages will be lost.

From All Other Locations

  • Dial 3897 from your desktop phone.
  • Enter your 8-digit password, then #.
  • Dial 202-358-3897.
  • Enter the 4-digit extension of your HQ phone, followed by #.  When prompted, enter your 8-digit password, then #.
  • Once logged in, the voice mail system will respond to all commands as before. 
  • After each message has played, use the menu command 7 to delete message (or 9 to save the message) and the system will play the next message in queue.
  • After reviewing messages, hang up.

Note:

  • Passwords:  If you change the password on the new voice mail system, it will NOT change the password on the old system – you must enter the password you used for voice mail prior to August 28, 2013

  • Saving messages: The menu command 9 to save a message is only used in this instance to clear the message from the queue in order to prompt the system to play the next message. After September 30, 2013, all messages will no longer be accessible when the legacy server is permanently shut down.
